Receptionist/ PA to the Managing Director

Job Description

Power Systems Africa is looking for a Dynamic Receptionist who doubles as a PA to the Managing Director on a full time basis.

Duties and Responsibilities

Acting as the point of contact between the Managing Director and internal/external clients/stakeholders
.Handling requests and queries appropriately.
Ensuring reception desk is manned
 Managing the Managing Director's diary and scheduling meetings and appointments.
 Preparing reports, memos, invoices, letters, presentations, and other documents.
Handling basic bookkeeping tasks
Filing and retrieving corporate records, documents, and reports.
Accurately recording minutes from meetings.
Making travel arrangements.
Providing general administrative support.
Ensuring good visual outlook of the Managing Director’s office and reception

Qualifications and Experience

5 ‘0’ levels including English Language,
Holder of a Diploma in Secretarial Studies/Office Admin/Office Technology or an y relevant qualification
Proficiency in MS Office and/or general office administration softwares
Excellent communication skills.
High level of attention to detail
Demonstrable planning and customer care skills.
Demonstrated professionalism, confidentiality, and discretion.
At least 2 years minimum relevant experience in a similar post.
Ability to work under tight deadlines and prioritize workload effectively.
 Flexibility in working hours when necessary.
