Job Description

Our growing company is seeking a professional and friendly receptionist to represent our team and serve as the first point of contact for guests visiting our office. Suitably qualified individuals are encouraged to apply.

Duties and Responsibilities

Greeting and Visitor Management: Receive visitors at the front desk with a warm and professional demeanor. Greet, welcome, direct, and announce them appropriately to the relevant personnel.

Mail Handling: Efficiently receive and sort daily mail. Manage both incoming and outgoing mail and emails promptly and accurately.

Phone System Operation: Answer and route incoming calls to the appropriate personnel or department. Transfer calls and take messages when necessary, providing accurate and timely information to callers.

Front Desk Organization: Ensure that the reception area is always tidy, organized, and presentable.

Information and Assistance: Provide visitors with information about the organization and its services. Assist with inquiries from callers and visitors, guiding them to the right resources.

Administrative Support: Assist with various administrative tasks including photocopying, filing, and data entry. Support the administrative team with general office duties as required.

Scheduling and Appointments: Coordinate and schedule appointments, meetings, and conference room reservations to support efficient office operations.

Access and Security Monitoring: Monitor access to the premises and ensure that all security protocols are followed, providing a safe and secure environment.

Office Supplies Management: Monitor office supplies regularly, ensuring they are replenished as needed. Coordinate with the administrative team for placing supply orders.

Interdepartmental Collaboration: Work closely with various departments to facilitate smooth office operations and enhance workflow.

Special Projects: Assist with special projects and tasks as assigned by the management or administrative team, contributing to overall office efficiency.

Emergency Protocols: Follow established emergency procedures, including notifying appropriate personnel and authorities as required.

Customer Service Excellence: Provide excellent customer service to both internal and external stakeholders, handling inquiries and addressing concerns in a helpful manner.

Task Management: Efficiently manage multiple tasks, prioritize responsibilities, and meet set deadlines to ensure seamless front desk operations.

Qualifications and Experience

Must be a Holder of a relevant Diploma
Must have at least 1 year experience in a relevant field
