Personal Assistant to CEO

Job Description

The Biotech Institute is seeking a dynamic and highly organized Personal Assistant to support our CEO. In this pivotal role, you will manage a broad spectrum of administrative and operational tasks, ensuring that the CEO's day-to-day activities run smoothly. This position demands a proactive individual with exceptional communication skills, a keen eye for detail, and the ability to maintain confidentiality in a fast-paced, innovative biotech environment.

Duties and Responsibilities

- Calendar & Schedule Management:
Coordinate and manage the CEO’s daily, weekly, and monthly schedules, including appointments, meetings, and travel arrangements.
- Meeting & Event Coordination:
Organize logistics for internal and external meetings, conferences, and events.
Prepare meeting agendas, take minutes, and follow up on action items.
- Communication & Liaison:
Act as the primary point of contact between the CEO and internal/external stakeholders.
Draft, review, and manage correspondence and communications on behalf of the CEO.
- Administrative Support:
Prepare reports, presentations, and other key documents.
Handle confidential information with the utmost discretion and professionalism.
Manage expense reports, filing systems, and document organization.
- Project Coordination:
Assist with special projects and strategic initiatives as directed by the CEO.
Conduct research and compile briefing materials to support executive decision-making.

Qualifications and Experience

- Educational Background: Bachelor’s degree in Business Administration, Communications, or a related field is required; an advanced degree is a plus.
- Professional Experience:
A minimum of 2–5 years’ experience as a Personal or Executive Assistant, preferably within a corporate or biotech environment.
Proven track record in managing high-level executive support functions in a dynamic setting.
- Skills & Competencies:
Outstanding organizational and multitasking abilities.
Excellent written and verbal communication skills.
High proficiency in MS Office Suite and familiarity with project management tools.
Strong interpersonal skills and the ability to build and maintain professional relationships.
Demonstrated ability to work independently, prioritize tasks effectively, and exercise sound judgment.
A high degree of professionalism, discretion, and confidentiality.
