The Office Assistant will provide administrative, logistical, and operational support to ensure the smooth functioning of the organisation’s daily activities. The role requires a well organised, proactive and dependable individual with strong administrative and communication skills.

Duties and Responsibilities

Administrative & Reception Support
• Manage reception duties, including answering telephone calls and welcoming visitors.
• Handle mail delivery, movement of equipment, and general office transport needs.
• Maintain a clean and fully functional Admin vehicle.
Office Management
• Oversee daily cleaning of offices and ensure general upkeep of the premises.
• Ensure availability and timely replenishment of office supplies, including stationery and kitchen groceries.
Logistics & Travel Coordination
• Coordinate all travel logistics for Board members, staff, and other stakeholders travelling locally and internationally.
Executive & Finance Support
• Provide administrative support to the Office of the Director.
• Assist the Finance and Administration Officer with banking tasks.
• Support filing, photocopying, record management, and general documentation.
• Assist with disbursements during activities and events.
• Support initial/primary accounts capture.
Procurement Support
• Assist in procurement processes, including requesting quotations and preparing bid analyses.
Other
• Perform any additional duties assigned by the Finance and Administration Officer.

Qualifications and Experience

Competencies & Skills
• Strong financial and basic accounting skills.
• Excellent administrative and organisational abilities.
• Effective communication and interpersonal skills.
• Good presentation skills.
• Proficiency in computer applications, including Excel and financial software packages.
• Strong problem solving and multitasking abilities.

Qualifications & Requirements
• A Basic Bookkeeping Certificate, Business Certificate, or a relevant Degree.
• A valid Class 4 Driver’s Licence with a Defensive Driving Certificate.
• Experience in administrative or office support roles will be an added advantage
