We are looking for an experienced Logistics Assistant to function within the Logistics Department, with a main responsibility of assisting in ensuring a consistent supply of materials and services to the Program in the right quantities and to maintain effective and efficient fleet support. The Logistics Assistant will assist the Logistics Officer in Zimbabwe with the following duties and responsibilities
• Assist the Transport and Logistics Officer in the supervision of drivers.
• Ensuring that logbooks are accurately completed and reviewed by Logistics Officer.
• Compiles and maintains an inventory of vehicle accessories.
• Checks vehicle services schedule, books vehicles for services, and follows up on delivery.
• Assist in vehicle inspection and book vehicles for repairs and maintenance.
• Assist the Transport and Logistics Officer in fuel use tracking and reconciliation.
• Assist in producing monthly vehicle fleet reports
• Responsible for receiving requisitions and registering in Database.
• Prepare a quotation Summary of the selected quotations and produce a waiver if needed
• Forward purchase order or contract to the supplier
• Compile payment documents and submit them to finance for processing
• Assist in the compilation of suppliers’ database
• Compile weekly and monthly procurement tracker reports and other reports as requested by the Logistics and Transport Officer.
• Tracking procurement documents including purchase Orders and contracts and other relevant documents for approvals.
• Assisting in developing and reviewing the procurement plans for the project, including commodity quantification and distribution plans using correct assumptions and best practices.
• Establish and maintain strong relationships with suppliers to support efficient management of supplies. Monitors quality and timeliness of deliverables including follow-ups on invoicing and payments on time
• Make logistical arrangements for program activities (meetings, workshops, functions etc)
• Assist in organizing travel and accommodation for staff and visitors
• Maintain up-to-date logistics files.
• Driving a motor vehicle for NPA errands.
• Transporting visitors and staff as assigned and maintaining logbook.
• Oversee expat house in Harare.
• Diploma or related qualification
• A Diploma in CILT/CIPS will be an added advantage.
• At least 2 years of experience working in an International NGO setup.
• Knowledge of electronic database and Logistics information management systems (LMIS)
• A clean class 4 driver’s license is a must.
