EXECUTIVE ASSISTANT TO THE GROUP CHIEF EXECUTIVE OFFICER

Reports To: Group Chief Executive Officer

About the Position

Harare Institute of Public Health (HIPH) invites applications from highly organised, proactive and discreet professionals for the position of Executive Assistant to the Group Chief Executive Officer.

The successful candidate will provide high-level executive, administrative and governance support to the Group CEO, ensuring the efficient management of the Executive Office. The role requires a professional who can coordinate executive activities, manage confidential information, facilitate effective communication across the Group and ensure the timely execution of strategic priorities. The Executive Assistant will play a critical role in supporting decision-making by coordinating meetings, monitoring action points and maintaining effective engagement with internal and external stakeholders.

Duties and Responsibilities

Key Responsibilities

The successful candidate will be responsible for:

* Managing the Group CEO’s diary, appointments, meetings, travel arrangements and daily priorities.
* Coordinating Board, Executive Management and senior leadership meetings, including the preparation of agendas, reports, presentations and Board papers.
* Preparing professional correspondence, speeches, briefing notes, reports, memoranda and presentations on behalf of the Group CEO.
* Tracking strategic action points, deadlines and key deliverables, ensuring timely follow-up with relevant departments.
* Managing confidential documents, executive records and filing systems while maintaining the highest level of confidentiality and professionalism.
* Coordinating communication between the Group CEO, Board of Directors, business units, regulators, development partners and other key stakeholders.
* Supporting governance processes through the preparation and circulation of meeting documentation, resolutions and official records.
* Assisting in the coordination and monitoring of strategic projects across the Group’s education, healthcare, pharmaceutical and research portfolios.
* Coordinating executive events, official visits, stakeholder engagements and protocol arrangements.
* Monitoring key organisational deadlines, compliance requirements and executive commitments requiring the attention of the Group CEO.
* Providing administrative support that promotes efficiency, accountability and effective decision-making within the Executive Office.

Qualifications and Experience

Applicants should possess:

* A Diploma or Bachelor’s Degree in Business Administration, Management, Public Administration, Communications, Secretarial Studies or a related field from a recognised institution.
* A postgraduate qualification in Business Administration, Strategic Management or Project Management will be an added advantage.
* Professional training in Executive Administration, Corporate Governance or Office Management will be an added advantage.
* Proficiency in Microsoft Office and other executive productivity tools.

Experience

The ideal candidate should have:

* A minimum of five (5) years’ experience in executive support, senior administration or Board-level coordination.
* Demonstrated experience supporting a Chief Executive Officer, Managing Director, Executive Director or another senior executive.
* Experience working within a multi-business or multi-site organisation, preferably in education, healthcare, pharmaceuticals or research.

* Proven experience handling confidential information, Board documentation and high-level stakeholder engagement.
* Experience in executive reporting, project coordination and governance administration will be an added advantage.
